What we collect when you use this site or ask us for a demo, why we collect it, and what you can ask us to do with it.

Who We Are, And How To Contact Us

This website is operated by Zo Republic Limited, trading as Tickethaul, registered at 167-169 Great Portland Street, London, W1W 5PF under company number 16035320. We are based in London and we work with organisers in the United Kingdom, in Europe and in the United States.

This policy covers our business website at business.tickethaul.com, which is aimed at event organisers, together with the demo enquiry form on it. Some sections below apply only in certain places, and those sections say so in their heading.

Our consumer marketplace at tickethaul.com and our ticket checkout at shows.tickethaul.com collect more information than this business site, so they will be covered by a separate, fuller privacy notice that we will publish before those services go live. This policy also explains, in general terms, what happens to information about ticket buyers when we handle it for an organiser.

What Information We Collect

Most of this site can be read without telling us anything about yourself. We collect information in three ways: when you fill in the demo enquiry form, when you browse the site, and when an organiser passes us information about their ticket buyers.

Information You Give Us Through The Demo Enquiry Form

The form asks for:

  • Your name
  • Your work email address
  • Your phone number, including the country dialling code
  • Your WhatsApp number, if you tell us we can reach you there
  • Your organisation
  • Your website
  • Your role
  • The type of events you run
  • Your annual ticket volume
  • When your next on-sale is planned
  • The ticketing platform you use at the moment
  • Anything else you choose to write in the free text message box

Please do not send us sensitive personal information through the form. We do not ask for it and we do not need it to arrange a demo. If you write it in the message box anyway, it will sit in our records until we remove it.

Information Collected Automatically When You Browse

When you look at the site we may collect basic technical information, including your device type, your browser and its settings, your network address and the approximate location it suggests, the pages you looked at and how long you stayed, and the site, advert or link that sent you to us. Most of this comes from cookies and similar technology, which is covered further down and in our cookie policy.

Information About Ticket Buyers

Where an organiser uses our ticketing tools, we may handle information about the people who buy tickets from that organiser. That can include names, contact details, order and booking records, seat or ticket details, and information about payments. In most of those cases the organiser decides what the information is used for and we act on their instructions, so the organiser’s own privacy notice is the one that governs that relationship. In most cases the organiser decides how ticket buyer information is used and is the controller, and we act as their processor on their instructions. We are also a controller in our own right where we use ticket buyer information for our own purposes, such as keeping the platform secure, preventing fraud and producing aggregate reporting.

How We Use It, And Our Lawful Basis

We use the information described above to reply to enquiries, arrange and run demos, understand what an organisation needs, keep a record of our conversations, provide and support our ticketing tools, send business information where we are allowed to, measure and improve the site, and keep everything secure.

Under United Kingdom and European Union data protection rules we also need a lawful basis for each use. The table below sets out what we expect to rely on.

Where we rely on legitimate interests, we weigh what we want to do against your privacy, and we record that assessment.

We do not sell your information, and we do not use it to make automated decisions that produce legal or similarly significant effects.

Who We Share It With

We share information only where we need to, and only with organisations that handle it on our instructions or under their own clear obligations. The categories are:

  • Hosting and website providers, who run the servers and the site infrastructure
  • Email and communications providers, who deliver and store our messages
  • Payment providers, who process transactions and handle related checks
  • Analytics providers, who help us measure how the site is used
  • Professional advisers, such as accountants, auditors, insurers and lawyers

We may also share information where we are legally required to, or where a business sale or restructure means the information moves with the part of the business it relates to.

We ask every provider to keep information secure and to use it only for the purpose we gave it to them for.

International Transfers

We are based in London and we work with organisers across the United Kingdom, the European Economic Area and the United States. That means information may move between those places. For example, an enquiry sent from the United States may be read by our team in London, and a provider we use may store or access information outside the country you are in.

When personal information leaves the United Kingdom or the European Economic Area, data protection rules require a recognised mechanism to be in place so that the information stays protected to a comparable standard. The mechanisms we use are as follows. Where the provider that receives the information is certified under the UK Extension to the EU-US Data Privacy Framework (the UK to US data bridge), we rely on that framework. Where it is not, we put in place the UK International Data Transfer Agreement, or the EU Standard Contractual Clauses together with the UK Addendum, in each case supported by a transfer risk assessment and any additional safeguards needed to protect the information.

How Long We Keep It

We keep information only for as long as we have a reason to. Our current intentions are:

  • Demo enquiry details: 36 months from your last contact with us
  • Records of an ongoing customer relationship: for the length of the relationship and for 6 years after it ends
  • Marketing preferences and opt-out records: for as long as we carry out marketing, so that we continue to respect your choice
  • Ticket buyer information handled for an organiser: for as long as we provide the service to that organiser, or the period the organiser instructs
  • Website and technical logs: up to 12 months (we do not currently run analytics)
  • Accounting, tax and other records we are required to keep: 6 years, or longer where the law requires

At the end of the relevant period we delete the information or make it anonymous.

How We Protect It

We take reasonable steps to keep information safe. Those steps include restricting access to the people who need it for their job, using encrypted connections for the site and for the enquiry form, requiring strong sign-in controls on the systems that hold personal information, keeping backups, and reviewing the security arrangements of the providers we work with.

No website or system can be completely secure, so we cannot promise that information will never be at risk. If something does go wrong and the rules require it, we will notify the relevant authority and, where needed, the people affected.

Your Rights If You Are In The UK Or The EU

If you are in the United Kingdom or the European Economic Area, data protection rules give you rights over the information we hold about you. Depending on the situation, you can ask us to:

  • Give you access. Tell you what we hold about you and give you a copy of it.
  • Correct it. Fix anything that is wrong or fill in anything that is incomplete.
  • Erase it. Delete information we no longer have a good reason to hold.
  • Restrict it. Pause our use of it while a question about it is being sorted out.
  • Move it. Send you, or another provider, a copy in a common machine readable format.
  • Object. Stop us using it where we rely on legitimate interests. If you object to marketing, we will stop.
  • Withdraw consent. Take back consent you gave us, at any time. That does not undo anything we did before you withdrew it.

To use any of these rights, email privacy@tickethaul.com and tell us what you would like us to do. We may ask you to confirm who you are first, so that we do not hand your information to somebody else. There is normally no charge, and we aim to reply within one month, which we may extend for complex requests as the rules allow.

If you are unhappy with how we have handled your information, please tell us first and we will try to put it right. You can also complain to a supervisory authority. In the United Kingdom that is the Information Commissioner’s Office. In the European Economic Area it is the supervisory authority in the member state where you live, where you work, or where the problem happened. Complaining to us does not stop you going to them.

Your Rights If You Are In The United States

There is no single national privacy law in the United States that covers everyone. Instead, a growing number of states have passed their own privacy laws, and the rights you have depend on the state you live in. California is the best known example, and several other states now provide broadly similar rights.

Where a state law gives you these rights, and subject to the limits and exceptions in that law, you may be able to:

  • Know and access. Ask what categories of personal information we have collected about you, where it came from, why we collected it, who we shared it with, and ask for a copy.
  • Delete. Ask us to delete personal information we hold about you.
  • Correct. Ask us to fix personal information about you that is wrong.
  • Opt out of sale or sharing. Tell us not to sell your personal information, and not to share it for cross-context behavioural advertising.
  • Opt out of targeted advertising. Tell us not to use your personal information to target adverts at you.
  • Limit the use of sensitive personal information. Tell us to use sensitive personal information only for the narrow purposes the law allows.
  • Be treated the same. Not be denied service, charged a different price or given a lower standard of service because you used a privacy right.
  • Appeal. Ask us to look again if we refuse your request. We will tell you how to appeal when we send our decision, and we will explain the outcome of the appeal in writing.

You can make a request by emailing privacy@tickethaul.com. Tell us which state you live in, because that decides which rights apply. We may need to verify your identity before we act. An authorised agent can make a request on your behalf where the relevant state law allows it, and we may ask for proof of that authority. We aim to respond within 45 days, and where the law allows we may extend this, in which case we will tell you and explain why.

Do Not Sell Or Share My Personal Information

We do not sell personal information for money. Some uses of analytics and advertising technology can still count as a sale or as sharing under certain state laws, even where no money changes hands, so we make an opt-out available.

To opt out of any sale or sharing of your personal information, and of targeted advertising, use emailing privacy@tickethaul.com. You can also refuse or withdraw consent for non-essential cookies through the cookie controls on this site, and we honour recognised browser opt-out preference signals where a state law requires it. We will not treat you differently for opting out. This site currently runs no advertising or tracking technology and we do not sell or share personal information for advertising. If that changes, we will provide the required opt-out link and honour recognised browser opt-out signals.

Cookies And Similar Technologies

We use cookies and similar technologies to keep the site working, to remember your choices and, where you agree to it, to measure how the site is used and to support advertising. Essential cookies are needed for the site to function. Everything else is optional, and you can change your choice at any time.

Children

This is a business website and our services are aimed at organisations, not at children. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us information, write to privacy@tickethaul.com and we will delete it.

Changes To This Policy

We may update this policy as our website, our tools, our providers or the rules that apply to us change. The date at the top shows when it was last updated. If a change affects you in a meaningful way, we will make that clear rather than leaving you to spot it, and where the rules require it we will ask for your agreement again.

For anything to do with this policy, or with information we hold about you, contact us at privacy@tickethaul.com. Please tell us where you are based so we can apply the right rules to your request.

If you are not happy with our answer, tell us and we will look at it again. If you are in the United Kingdom you can complain to the Information Commissioner’s Office. If you are in the European Economic Area you can complain to the supervisory authority in your member state. If you are in the United States, the rights described above may include a right to appeal our decision, and your state may also allow you to raise the matter with its attorney general or another body.
